Denver Film Festival Guest Relations Manager


Classification: Seasonal

Full Time: Mid-August – November (through festival conclusion and wrap-up)

Salary Range: $7,000 – $8,000

Location: Remote and on site at the Sie FilmCenter – 2510 E. Colfax Ave., Denver, CO 80206 – and at festival locations

Reporting Structure: Reports to the Denver Film Festival Producer 


Currently, Denver Film does not require staff to be vaccinated against COVID-19 or wear face coverings within its building(s). However, Denver Film reserves the right to reinstate such requirements should public health agencies recommend or require it. Overview: 

Denver Film seeks a full-time Guest Relations Manager to oversee the Guest Relations Department for the Denver Film Festival (DFF), the largest premier film event in the Rocky Mountain Region that happens across multiple venues over 12 days filled with films, red carpet events, panels, curated virtual reality and immersive experiences, and special events. With more than 130 invited guests, jurors, and panelists, the Guest Relations Manager works closely with other departments across the festival and plays a critical role in the experience of filmmakers and other guests.

About Denver Film:

The first Denver International Film Festival was successfully launched in May 1978. Three years later, the 501(c)(3) nonprofit Denver Film Society was created to expand opportunities to bring films to Denver that otherwise might not be shown, and to celebrate and cultivate film as an art form. Over the years the organization has grown into one the largest and most respected cultural institutions in the Rocky Mountain region. In 2019, the organization rebranded to Denver Film in an effort to build a more inclusive organization. What You’ll Do:

The Guest Relations Manager will oversee all guest relations systems and needs for the 2022 Denver Film Festival. The Guest Relations Department’s responsibilities are significant in supporting the needs of all invited guests and ensuring the best possible experience with the festival. Responsibilities include:

Guest Relations

  • • Review past systems and envision how to build upon past success in conjunction with the DFF Producer and the Programming Department
  • • Communicate with visiting filmmakers and other guests to understand their needs and coordinate travel
  • • Manage hotel room blocks across more than 10 hotels
  • • Utilize systems and tools to create itineraries, coordinate guest tickets, and create all materials needed to support guests
  • • Hire assistant(s), set goals, and oversee their work
  • • Manage Guest Relations check-in
  • • Act as the DFF liaison for filmmakers and guests of the festival by operating the Guest Relations hotline, responding to email inquiries in a timely manner, and welcoming guests
  • • Ensure all data and materials are dispositioned post-event
  • • Write and deliver a comprehensive wrap report following the conclusion of the festival

Coordination

  • • Work cooperatively with all DFF departments including, but not limited to, Transportation, Programming, Publicity, and Operations to ensure the lines of communication are open, needs are clear, and plans are set
  • • Interface with Programming, Transportation, Accounting, PR, and other DFF departments to determine needs and protocols

Budget Management

  • • Manage and work within the Guest Relations budget
  • • Track all expenses with accuracy

General

  • • Work to support the festival overall and the needs of all departments
  • • Ensure that Denver Film’s high festival standards and the expectations of guests are met before, during, and after the festival

 

Who You Are:

The ideal candidate will be an effective communicator who is highly organized and enjoys meeting and assisting guests. This individual will have experience with coordinating domestic and international travel, including airfare and lodging, as well as managing hotel room blocks. This detail-oriented professional should have strong computer skills and be proficient in Microsoft Office. They should have the ability to work as part of a team and to provide clear direction to staff and volunteers. The Guest Relations Manager must possess the ability to meet deadlines and maintain poise in stressful situations.
